Effective date: October 24, 2025
Company: Surentech (“Surentech,” “we,” “us,” “our”)
Product: Suren mobile app and related websites/APIs (the “Service” or “App”)
General support: support@surentech.com
Privacy contact: privacy@surentech.com
Address: San Jose, California, USA
This Privacy Policy explains what we collect, how we use and share it, and the choices you have. By creating an account or using the Service, you agree to the practices described in this Policy.
1) Scope
This Policy applies to the Suren mobile app and any Surentech sites/APIs that link to it. It does not cover third-party services you may access through our Service; those services have their own privacy practices.
2) Information We Collect
2.1 Account Information (you provide)
- Email address (always — either your real email or, with Apple Sign-In, a private relay email): collected when you register or sign in via Google Sign-In, Apple Sign-In, or email/password registration.
- Name (sometimes): may be provided by Google Sign-In or Apple Sign-In, depending on the permissions granted by the user during sign-in.
- Profile picture (sometimes): may be provided by Google Sign-In, depending on the permissions granted by the user during sign-in.
- Device UUID : a device identifier collected during account creation to help manage your account across devices.
- Initial IP address : collected during account creation for security and fraud prevention purposes.
We do not collect age or other profile fields unless you explicitly provide them.
2.2 Debate Content (you create)
- Audio recordings: created on your device and uploaded to our servers for transcription processing. Audio files are sent to third-party transcription services (AssemblyAI) via Cloudflare Workers and may be logged to external services for operational purposes. Surentech does not permanently store your audio files on Surentech servers after transcription is complete.
- Transcription text: when you submit a debate for coaching, the text transcript of that debate is sent to our systems and stored by us.
- AI-generated coaching outputs: text feedback/annotations we generate for you from a transcript; these are stored by us.
2.3 Non-personal/technical data
Surentech collects initial IP addresses during account creation for security and fraud prevention. We also collect device UUIDs to help manage your account across devices. We do not collect analytics/usage telemetry or similar non-personal identifiers for tracking purposes. (Note: network and hosting providers involved in delivering the Service may automatically process limited technical metadata for secure transit and delivery; Surentech does not store or use those for analytics.)
2.4 No cookies
Surentech does not use cookies or similar tracking technologies in the Suren App (and does not rely on site cookies for account functions).
3) How We Collect Information
- Directly from you: when you register or sign in via email/password, you provide an email address and password.
- Via Google Sign-In (optional): if you choose to use it, we receive your email and may receive your name and profile picture, subject to Google’s user consent screen.
- Via Apple Sign-In (optional): if you choose to use it, we receive your email (or Apple’s private email relay if you choose to hide your email) and may receive your name (on first sign-in only), subject to Apple’s user consent screen. You can choose to hide your email address when using Apple Sign-In, in which case Apple will provide a private email relay address.
- From your debates: when you request transcription/coaching, you upload audio files which are processed by third-party transcription services; the resulting transcription text is then sent to our systems for coaching generation (see §5 for processing details).
4) How We Use Information
We use your information to:
- Provide the Service: account creation, authentication, access to your transcripts and coaching.
- Generate coaching: process your transcription text with AI to produce feedback.
- Communicate with you: send service emails (account, legal updates, changes to this policy/Terms) and newsletters about new features or app updates.
- Operate and improve: maintain reliability, quality, and safety of Suren (without using analytics or device/IP data as described above).
- Compliance and enforcement: meet legal obligations and enforce our Terms.
You may opt out of newsletters at any time (see §10).
5) Sharing & Processing with Third Parties
We share information only to deliver the features you request (transcription/coaching) and to run the Service:
- Cloudflare (network & transit): audio and transcript traffic passes through Cloudflare Workers for secure content delivery and protection.
- AssemblyAI (speech-to-text): used to transcribe debate audio; receives audio files uploaded by you for transcription processing.
- OpenAI (language model): used to generate coaching outputs from your transcript; receives transcription text needed to provide the output.
- MongoDB (data storage): stores your account information, transcripts, coaching outputs, and related data on secure cloud infrastructure.
- Mailgun (email service): used to send service emails, account notifications, and newsletters.
- External audio logger (operational logging): audio files may be logged to external services for operational and debugging purposes.
We do not sell personal information. We do not run third-party advertising.
Each provider processes data under its own terms/policies. We share only what’s necessary to perform the requested function.
6) International Data Transfers
Our providers operate infrastructure in multiple regions. As a result, your transcription text and/or coaching data may be processed outside your country, including in the United States and other jurisdictions. By using the Service, you consent to these transfers.
7) Data Retention
- Audio recordings: uploaded to our servers for transcription processing but not permanently stored by Surentech after transcription is complete. Audio files remain on your device and are sent to third-party transcription services for processing.
- Transcription text & coaching outputs: retained by Surentech as long as needed to provide and improve the Service and for legitimate business, security, or legal purposes. Reasonable backups and security logs may persist for a period of time.
If you delete a debate in the app, it removes the audio on your device (if you choose to delete it there) but does not automatically delete the stored transcript or coaching from Surentech’s servers. See §9 for deletion requests.
8) Children’s Privacy
- Minimum age 13: Suren is intended for users aged 13 and older. We do not knowingly permit users under 13.
- If we learn that a user under 13 is using the Service, we may disable the account and take steps to delete associated personal data.
- Users aged 13–17 should use the Service with the knowledge/permission of a parent/guardian or an authorized school/coach.
For questions or requests concerning a minor’s data, contact privacy@surentech.com.
9) Your Rights & Choices
9.1 Access & viewing
- You can view your transcripts and coaching outputs within the App.
9.2 Correction
- Coaching/transcriptions are AI-generated and not edited manually by Surentech. We do not offer manual correction of those outputs. You may re-run or regenerate outputs by using the App’s features (as available).
9.3 Deletion
- You can delete your account and all associated data through the self-serve account deletion feature in the App, which permanently deletes your account, transcripts, coaching outputs, and associated data from Surentech systems. This includes deletion of AssemblyAI transcripts and revocation of Apple Sign-In tokens (if applicable).
- Alternatively, to request deletion via email, contact privacy@surentech.com or support@surentech.com from the email associated with your account. Backups and security logs may retain minimal records for a reasonable period or as required/permitted by law. Note: OpenAI API data is automatically deleted after 30 days per OpenAI’s policies; no direct deletion API is available.
9.4 Marketing preferences
- You can opt out of newsletters/updates at any time by following any unsubscribe instruction included in the email or by emailing support@surentech.com.
10) Security
We aim to protect your information using reasonable administrative, technical, and organizational safeguards, including relying on secure transit (e.g., HTTPS/TLS where available) and the established security controls of our cloud/AI providers. No system is perfectly secure. If you believe your account or data has been compromised, contact privacy@surentech.com immediately.
11) Data Minimization
We collect and process only the minimum information needed to deliver Suren’s features (primarily: your email for account access; transcripts you choose to submit; and the coaching we generate for you). We collect initial IP addresses and device UUIDs for security, fraud prevention, and account management purposes only. We do not collect analytics/usage telemetry or use IP addresses or device identifiers for tracking or analytics purposes.
12) Changes to This Policy
We may update this Policy from time to time. For material changes, we will notify you by email at the address associated with your account and/or via an in-app notice. The updated Policy is effective when posted unless stated otherwise. Your continued use of the Service after an update means you accept the changes.
